Archiving and Preservation Policy of TJEB
1. General Principles
TJEB is committed to preserving and maintaining access to its published scholarly content. The journal recognises that long-term access, reliable article metadata, stable article webpages, DOI-linked records, and backup systems are essential for the integrity and continuity of the scholarly record.
2. Content Preserved by TJEB
TJEB preserves the following publication materials:
- published article PDF files;
- article landing pages;
- article metadata, including title, author names, affiliations, abstract, keywords, DOI, publication date, volume, issue, page range, and article URL;
- supplementary files, where published;
- correction, retraction, withdrawal, and expression of concern notices;
- editorial policy documents;
- digital publication certificates issued for published articles.
3. Official Version and Article Access
The official version of published TJEB content is maintained on the TJEB website: https://tjeb.muls.edu.mn/. Each published article must have:
- a permanent article landing page;
- a PDF link;
- DOI displayed as a full URL;
- article metadata;
- a stable URL structure;
- functioning links without avoidable broken links.
The TJEB website operates using HTTPS to support secure access and DOI-linked publication records.
4. Backup and Preservation Arrangements
TJEB uses a multi-level backup arrangement to support preservation and recovery of journal content.
4.1. Website Server Backup
The TJEB website is hosted through the Itools Joint Stock Company (JSC) in Mongolia. Website server backup is conducted monthly by the service provider and may include website files, database, server configuration, SSL/HTTPS settings, scripts, plugins, templates, and user accounts.
4.2. Local and Offline Backup
The Technical Editor maintains a local/offline backup of TJEB's publication and website content, including article PDFs, supplementary files, policy documents, article metadata, and other publication-related records.
4.3. Institutional Cloud Backup
TJEB maintains an institutional cloud backup through Google Drive under the management of the IT department of Mongolian University of Life Sciences. The Technical Editor uploads or restores TJEB materials to this institutional cloud backup on a seasonal basis or when necessary.
5. Article Metadata and DOI Records
TJEB maintains article metadata in a structured format suitable for DOI registration, indexing, archiving, preservation, and reporting. Metadata may be stored in structured formats such as spreadsheets, CSV, XML, or other suitable formats. If article URLs change, TJEB will update DOI records and article landing page information as necessary.
6. Website Continuity, Stable URLs, and Redirects
TJEB aims to maintain stable article URLs and permanent article landing pages. If the website structure changes, or if article URLs are modified due to website redesign, migration, or technical restructuring, the Technical Editor will ensure that old URLs redirect to the correct new article pages where technically possible.
7. Responsibilities
7.1. Technical Editor
Responsible for website maintenance, backup coordination, article file preservation, metadata management, DOI landing page maintenance, and cloud backup.
7.2. Editor-in-Chief (EIC)
Overall responsibility for ensuring that this policy is implemented and that TJEB maintains access to the published scholarly record.
7.3. Editorial Coordinator
Supports preservation by maintaining submission records, publication documentation, author forms, and communication records where relevant.
7.4. SEB/MULS as Publisher
The School of Economics and Business (SEB), Mongolian University of Life Sciences (MULS), supports the journal by providing institutional and financial support for domain, hosting, continuity, and long-term access.
7.5. Service Provider
Supports the technical hosting environment and server backup arrangements in accordance with the service arrangement.
8. Website Migration or Journal Discontinuation
TJEB will maintain access to published content even if the website is redesigned, migrated, or moved to another technical platform. If TJEB ceases publication, SEB/MULS will make reasonable efforts to preserve access to published content through institutional backup, institutional archiving, external archiving, or other suitable preservation arrangements.
9. Future Preservation Development
As the journal develops, TJEB may consider additional long-term preservation options, such as deposit in an institutional repository, external public repositories, or recognised digital preservation services, where technically and financially feasible. TJEB will not claim participation in any external preservation service unless such participation has been formally implemented.
10. Relationship with Other Journal Policies
This policy should be read together with other relevant TJEB documents, including:
- Guide for Authors
- Copyright, Licensing, and Author Rights Policy
- Corrections, Retractions, Withdrawals, and Expressions of Concern Policy
